This Privacy Policy explains how StudyFlow collects, uses, stores and protects information when you use our Service. It should be read together with our Terms of Service.

1. Scope

This Policy applies to all users of StudyFlow, including students using individual accounts and, where applicable, accounts provisioned through an educational institution.

2. Information We Collect

Account information

  • Your name and email address, provided during sign-in.
  • Your profile picture, where provided by your sign-in method.

Profile and personalization information

  • Grade level, country and main language(s), which you may provide to personalize your study experience.
  • Theme and interface preferences.

Study content

  • Notes, documents, images and audio you upload.
  • Content generated by the AI on your behalf, including summaries, flashcards, practice tests, exam results and chatbot conversation history.
  • Links you create between stored notes, sessions and chatbot conversations.

Usage and account data

  • Credit purchase and usage history.
  • Session activity, including features used and content generated.

Payment data

Billing information necessary to process purchases, handled through our third-party payment processor. We do not store your full payment card number.

Technical data

Device and browser information. Your study content is stored on our servers, not in your browser; the only thing we keep in local browser storage is your light/dark theme preference, so the interface does not flash on load.

3. How We Collect Information

  • Directly from you, when you create an account, upload content or enter profile information.
  • Automatically, through your use of the Service (for example usage and session data).
  • From your sign-in provider, where you authenticate using a third-party identity provider.

4. How We Use Your Information

  • Authenticating your account and securing access.
  • Saving, retrieving and linking your study sessions and stored notes.
  • Processing credit purchases and usage.
  • Generating AI-powered study content from your notes, files and audio.
  • Personalizing your experience based on grade, country and language.
  • Maintaining context across chatbot conversations and linked notes, where you use these features.
  • Improving the Service through aggregated, de-identified usage analysis.

5. AI Processing and Third-Party Providers

How your content is processed

When you use AI features, your notes, documents, images or audio are transmitted to a third-party AI processing provider to generate the requested output, such as a summary, flashcard set, practice exam or chatbot response.

No use of your content to train AI models

Your study content is not used to train or fine-tune the underlying AI models that power StudyFlow, whether operated by us or by our AI processing providers.

Retention by AI providers

Content sent for AI processing is retained by our providers only as long as necessary to generate your requested output and in accordance with our provider agreements, which prohibit use of your content for purposes other than providing the Service to you.

International data transfers

Our AI processing and certain hosting providers may be located outside of your country or province, including in the United States. By using the Service you acknowledge that your information may be processed in a jurisdiction with different data protection laws than your own. We take contractual and technical measures intended to protect your data consistent with this Policy regardless of where it is processed.

6. Audio and Recorded Content

If you upload audio recordings of classes, lectures or study sessions, that audio may contain the voices of individuals other than you, such as teachers or classmates. You are responsible for ensuring you have the right to record and upload such content, including any consent required from other participants under applicable law. We process audio content only to generate study materials.

7. Children's Privacy and Minors

StudyFlow is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13. Users between 13 and 18 should use the Service with the involvement of a parent or legal guardian. If we become aware that we have collected personal information from a child under 13 without appropriate consent, we will take steps to delete it.

8. What We Do Not Do

  • We do not sell your personal data to third parties.
  • We do not share your study notes, content or chatbot conversations with other users.
  • We do not use your profile or personalization data (grade, country, language) for advertising targeting.
  • We do not store your sign-in password.

9. Data Sharing and Disclosure

We share information only with:

  • Service providers who process data on our behalf, including AI processing providers, cloud hosting providers and payment processors, each bound by contractual obligations to protect your data and use it only to provide services to us.
  • Authorities, where required by law or legal process, or to protect the rights, safety or property of StudyFlow or others.
  • Third-party ad providers, where ads are displayed as part of the free credit system, limited to the information necessary to serve and measure ads. Ad providers do not receive your study content, notes or personalization profile data.

10. Data Retention

  • Account information is retained for as long as your account is active.
  • Stored notes, study sessions and chatbot history are retained until you delete them or delete your account.
  • On account deletion your data is removed from active systems within 30 days, and from backups within a reasonable period thereafter consistent with our backup cycle.
  • Credit purchase records may be retained longer where required for tax, accounting or legal compliance.

11. Data Storage and Security

Your data is stored with a managed database provider using encryption in transit and at rest, row-level access controls that scope every record to your account, and server-side authorization on every request. We review these controls regularly. No system is perfectly secure, so we also keep the data we collect to what the Service needs.

12. Your Rights and Choices

Depending on your location, you may have rights to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your data or account.
  • Request a copy of your data in a portable format.

You can delete individual study sessions from your dashboard, export your data from Settings, and delete your entire account (and all associated data) from Settings at any time. For anything else, contact support@studyflow.best.

13. Cookies and Tracking Technologies

We use essential cookies for authentication and session management. We do not use tracking cookies for advertising purposes on our own behalf. Where third-party ads are displayed as part of the free credit system, those ad providers may set their own cookies subject to their own privacy policies.

14. Changes to This Policy

We may update this Privacy Policy from time to time and will notify users of material changes through the platform. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
